06/09/2023

SharePoint is a powerful collaboration tool that allows organizations to store, manage, and share documents. One of the key features of SharePoint is document versioning, which enables users to track and restore previous versions of a document. In this tutorial, we will learn how to restore previous versions in SharePoint document versioning.

Understanding SharePoint Document Versioning

Before we dive into the process of restoring previous versions, let's first understand what SharePoint document versioning is. Document versioning in SharePoint refers to the ability to keep track of changes made to a document over time. Each time a document is modified and saved, a new version is created. This allows users to easily review and revert to previous versions if needed.

Enabling Versioning for a Document Library

In order to use document versioning in SharePoint, you need to first enable it for the document library where your documents are stored. Here's how you can do it:

  1. Open your SharePoint site and navigate to the document library where you want to enable versioning.
  2. Click on the "Library" tab in the ribbon at the top of the page.
  3. Click on the "Library Settings" button in the Settings group.
  4. Under the General Settings section, click on the "Versioning settings" link.
  5. In the Versioning Settings page, check the box next to "Create major versions" to enable major versioning.
  6. If you want to enable minor versioning as well, check the box next to "Create major and minor (draft) versions".
  7. Click on the "OK" button to save the changes and enable versioning for the document library.

Restoring Previous Versions

Now that we have enabled versioning for the document library, let's learn how to restore previous versions of a document:

  1. Navigate to the document library where the document is stored.
  2. Find the document for which you want to restore a previous version.
  3. Hover your mouse over the document to reveal the dropdown menu.
  4. Click on the ellipsis (...) button to open the menu.
  5. In the dropdown menu, click on the "Version History" option.
  6. You will be taken to the Version History page, which displays a list of all the previous versions of the document.
  7. Review the list and identify the version you want to restore.
  8. Click on the radio button next to the desired version.
  9. Click on the "Restore" button to restore the selected version.
  10. A confirmation message will appear, asking if you want to restore the selected version. Click on the "OK" button to proceed.
  11. The selected version will be restored, and the document will be reverted to that version.

Conclusion

SharePoint document versioning is a powerful feature that allows users to track and restore previous versions of documents. By enabling versioning for a document library and following the steps outlined in this tutorial, you can easily restore previous versions of your documents in SharePoint. This can be especially useful in situations where you need to revert back to an earlier version of a document or compare changes made over time.
